Events & Check-ins

Events are the core of your presence on WhiskyCircle. Create tastings, masterclasses and other events. Visitors can sign up and check in via a unique QR code.

Creating an event

Follow these steps to create your first event:

Go to Events in your dashboardClick on "Events" in the menu and then on "New event".

Fill in the basic detailsTitle, date and time, event type (tasting, masterclass, etc.) and a description.

Set the detailsMaximum number of attendees, admission price (or free), and any additional information.

Add an imageUpload an attractive photo. No good photo? Use "Generate with AI" for an automatically generated image.

PublishCheck everything and click "Publish". Your event is now visible to all users!

Event types

You can create different types of events:

Tasting
A classic whisky tasting where visitors can try different whiskies.
Masterclass
An educational session about whisky, production or specific distilleries.
Meet & Greet
Meetings with distillers, brand ambassadors or other guests.
Special event
Other events such as anniversaries, releases or celebrations.

The QR code check-in

Every event automatically gets a unique QR code. This allows visitors to quickly check in:

Download the QR codeGo to the event in your dashboard and click "Download QR code". You'll get a PDF you can print.

Place the QR code visuallyPrint the QR code and hang it at the entrance, or display it on a screen. Make sure visitors can easily scan it.

Visitors scanVisitors open their phone camera and scan the code. They are redirected to the check-in page.

Check-in confirmationThe visitor clicks "Check in" and receives a confirmation. Does your business have a stamp card? They'll automatically receive a stamp!

Check-in time window

The QR code only works within the check-in time window: by default from 2 hours before to 2 hours after the event. Outside this window, visitors cannot check in.

Viewing check-ins

During and after the event you can see who has checked in:

  • Go to the event in your dashboard
  • Click on "Attendees" to view the list
  • See in real-time who checks in during the event
  • Download the attendee list as CSV for your records

Editing or cancelling an event

You can always edit an event as long as it hasn't ended. Go to the event and click "Edit". If you need to cancel an event, click "Cancel" – attendees who have signed up will automatically receive a notification.

Plan your events well in advance. This gives users the chance to add it to their calendar and sign up.
